Alicia Wong is the organiser of the Bauhaus Buddies community. She wants the event invitations to reach every student in Weimar. Currently, she has to send them to every WhatsApp group, sometimes to individual members, which is time-consuming and tiring.

The problem:

  • Event info is fragmented across WhatsApp groups; announcements don’t reach everyone.

  • No central place to browse upcoming events, see past work, or propose workshops.

  • Organizers can’t track interest or manage limited seats.

Introduction

Overview

Bauhaus Buddies is a student-led community at Bauhaus Universität Weimar that hosts weekly creative workshops and cultural meetups. Until now, event announcements have been scattered across various WhatsApp groups, social media posts, and other platforms, which have not reached all students.

Goal: Build a connecting bridge between students and event organizers through a responsive website that enables students to discover events, book seats, submit workshop proposals, and join the community.

Hypothesis:

If we centralize events and sign-ups on a responsive site with clear navigation and booking, we’ll increase event reach and seat utilization, while reducing organizer overhead.

Usability Testing

Usability Testing

Method: 6 rapid tests (mobile + desktop) with target users.
Tasks: Find a workshop this week; check its location; book a seat; find the host a workshop page.

Findings & Iterations

  • Confusion about seat availability → a common question 4 participants had was if the seats run out, and how they would get to know about it. Next step is to add seat cues on each card (e.g., 5 seats left)

  • 2 of them expressed concern over not seeing the details confirmation screen before the notification about the Seat booking. The next step would be to add a "Check your details" page before confirmation.
